VOLUNTEER POSITIONS BEFORE THE EVENT
PROMOTION & OUTREACH
Volunteers assist with promoting and outreach by:
- Placing crab feed posters in the community, such as businesses, gyms, employers, churches and community bulletin boards.
- Sharing event links via the internet (i.e., social media).
- Helps increase Facebook Page and Instagram account followers.
- Shares information about the event with individuals, businesses, groups, and other organizations.
DONOR & SPONSOR ACQUISITION
Assists with obtaining in-kind donations of products, services, and experiences for raffles and auctions, and/or assists with reaching out to potential sponsors.
VOLUNTEER POSITIONS FOR Saturday January 20, 2024
VOLUNTEER POSITION DESCRIPTIONS
All volunteer positions must be able to do the following in addition to the specific volunteer position description:
- Checks in and out with the timekeeper.
- Works in a team environment with other volunteers.
- Interfaces with the event attendees courteously and professionally.
- Abides by all current COVID mandates.
- Receives instructions from the Volunteer Coordinator and Chapter 48 officers.
- Maintains good communication with the volunteer team, Veterans Memorial Building staff, and the public.
SET-UP CREW
SHIFT DURATION: 12:00 PM TO 4:00 PM
- Assists with setting up the event (except for tables and chairs, which will already be set up by the Veterans Memorial Building staff).
- Plastic table covers need to be cut from rolls and taped to 50 eight-foot-long tables.
- Place table markers on tables with appropriate signs (such as reserved, business name, person’s name, etc.).
- Assist with auditorium decorations.
- Assist with hanging sponsorship event banners on the walls of the auditorium.
- Transport drink supplies and equipment (ice and coolers) to the bar in the auditorium.
- Help set up the bar area.
- Set up dessert area, condiments, coffee station, et cetera.
- Help move supplies from vehicles and/or building lockers to appropriate event areas.
- Help prepare volunteer free meal station.
- Assist kitchen volunteers when needed.
- Meal: Pizza, pasta, salad, bread, dessert, and non-alcoholic drinks will be available for volunteers between 3:30 pm and 4:30 pm. Non-alcoholic drinks are available for free to all volunteers throughout the event.
FRONT DOOR TICKET TABLE
SHIFT DURATION: 4:00 PM TO 8:00 PM
- Greets attendees checking in at the front desk before they enter the auditorium.
- Checks guests’ valid identification and matches the name on the I.D. to the name on a list of guests who pre-purchased tickets.
- After confirming the name on the I.D. with the name on the list, disperses pre-purchased tickets appropriately.
- Annotates on the guest list which guests have received tickets.
- Handles cash only if tickets are available for sale during the event. Is responsible for maintaining an accurate ticket sales record and securing cash received. At the end of the shift, gives cash and records to the Chapter 48 treasurer.
- Will be instructed on how to operate a credit card machine.
- Does not leave position area nor leaves front desk unattended. Position must be covered by a designated cover volunteer for bathroom breaks and emergencies.
- Informs guests with further instructions, such as how to enter the auditorium (guests show tickets to front door monitor) and directions to the restrooms.
- Free meal choice for Front Door Ticket Table position includes crab, pizza, pasta, salad, bread, and dessert between 3:30 pm and 4:30 pm, or they may take a box home. Non-alcoholic drinks are available for free to all volunteers throughout the event.
SECURITY GUARD*
SHIFT DURATION: 4:15 PM TO 10:00 PM
- Brings own cell phone to carry in case of event related emergencies.
- Brings warm and/or weather appropriate clothing for the evening hours.
- Rove the Veterans Memorial Building grounds (entire building, bathrooms, parking lot).
- Rove Veterans Memorial Building grounds 30 minutes before the start time of the event and 30 minutes after the end time of the event.
- Use only voice directions; no physical contact with anyone.
- Security guards may need to escort guests out of the venue or building.
- Security guards may need to call the Santa Rosa police.
- Must wear identifiable clothing that shows “security” or “security guard.” Guards will be provided with reflective vests that can be worn over clothing.
- Security guards may need to inform guests that no outside alcohol is allowed.
- Security guards ensure the safety of the guests and report suspicious activity to Veterans Memorial Building staff and Chapter 48 officers or call emergency services depending on the nature of the situation.
- In case of emergencies, direct emergency services (such as police or EMTs) to the appropriate location or area.
- Applicants must sign a document with the Santa Rosa Veterans Memorial Building staff stating that they will be providing security for the building and the hours in which they will be providing security. This document must be signed and turned in several weeks before the event date.
- No security guard experience is required.
- Free meal choice for Security Guards includes crab, pizza, pasta, salad, bread, and dessert between 3:30 pm and 4:30 pm, or they may take a box home. Non-alcoholic drinks are available for free to all volunteers throughout the event.
DRINK BAR ATTENDANT - WINE & BEER
SHIFT DURATION: 4:00 PM TO 9:00 PM
- We need one certified RBS server. The name, Server ID, certification expiration date, and contact phone number for the certified RBS server present at the event must be included on form ABC-221. Certified RBS servers can retrieve their Server ID and expiration date through ABC’s RBS Portal. https://www.abc.ca.gov/education/rbs/
- Assists with setting up the drink bar in the auditorium, such as filling coolers with ice from the ice machine, prepping the area with supplies, keeping the area clean and organized, keeping certain drinks cold, moving drink supplies from the kitchen to the bar area, etc.
- Checks the identification of everyone requesting an alcoholic beverage (wine or beer) to ensure the guest is 21 years or older.
- Pours wine and beer into event-designated wine or beer clear cups at the bar.
- Does not allow guests to carry wine or beer bottles or cans to the table. All wine and beer must be served in a designated event clear cup.
- Does not handle cash. However, donations are welcomed. There will be a secure donation box at the bar table.
- Watches over a locked donation bar box.
- Assists with breaking down the bar and boxing unused items.
- Minimum age 18 years old.
Free meal choice for Drink Bar Attendant includes crab, pizza, pasta, salad, bread, and dessert between 3:30 pm and 4:30 pm, or they may take a box home. Non-alcoholic drinks are available for free to all volunteers throughout the event.
DOOR MONITOR
SHIFT DURATION: 4:15 PM TO 8:30 PM
- Brings own cell phone to carry in case of event-related emergencies.
- Stands at the front auditorium door or side auditorium door near the kitchen. Door monitors are inside building positions. The Veterans Memorial Building auditorium is in the center of the building. All doors to/from the auditorium exit to inside hallways. There are no restrooms inside the auditorium. Guests will need to exit the auditorium (not the building) to use a restroom.
- The front and side auditorium door attendants check to ensure all guests wanting entry into the auditorium has an event ticket.
- Attendants prevent people from entering the auditorium without a ticket.
- Attendants only give voice commands; they do not touch people.
- Attendants must inform security guards and designated staff of issues when they arise, such as theft, guests trying to enter with outside alcohol, guests carrying out food, and people trying to enter the event without paying.
- There will be two door monitors assigned to each door in case one needs to go to the bathroom or when issues arise.
- Free meal choice for Door Monitor includes crab, pizza, pasta, salad, bread, and dessert between 3:30 pm and 4:30 pm, or they may take a box home. Non-alcoholic drinks are available for free to all volunteers throughout the event.
RAFFLE & AUCTION ATTENDANTS
SHIFT DURATION: 7:00 PM TO 9:30 PM
- Assists the Emcee.
- Runs raffle prizes to winning recipients in the auditorium.
- Assists auction winners with filling out donation forms.
- Assists the auction table volunteers.
- Assists with raffle and auction items.
- Meal: Pizza, pasta, salad, bread, dessert, and non-alcoholic drinks will be available for volunteers between 3:30 pm and 4:30 pm. Volunteers who start a position at a later time, such as the clean-up crew and raffle/auction attendants, can arrive before their position starts to eat or box food to take home with them later. Non-alcoholic drinks are available for free to all volunteers throughout the event.
VOLUNTEER COORDINATOR*
SHIFT DURATION: 3:00 PM TO 9:30 PM
- Directs, manages, and assists with coordinating volunteers.
- Is willing to learn the other volunteer position duties.
- Works in coordination with the volunteer breakroom attendant for time-keeping of volunteers who need to record their hours, and generally knows when volunteers arrive and leave through the use of a sign-in/out sheet in the volunteer breakroom. Turns in time-keeping records to the Chapter Adjutant.
- Is able to communicate with the volunteer breakroom attendant and -other team leads via text or phone.
- Coordinates with the volunteer breakroom attendant to orient volunteers to the volunteer breakroom, volunteer stations and positions, can direct volunteer floaters to needed positions, etc.
- Makes rounds and monitors volunteers during the event to ensure volunteers have what they need, ensure positions remain filled, and may need to temporarily fill in a position or find someone who can fill in for a volunteer, such as for bathroom breaks or emergencies.
- The Volunteer Coordinator is the communication hub (go-between) between volunteers, Veterans Memorial Building Staff, and DAV officers/members who are running the event.
- Volunteer Coordinators help other volunteers, special guests, and attendees with answering questions and/or directing people to the appropriate person who can answer questions/concerns. The Volunteer Coordinator will be introduced to key contact point persons at the event, including names with phone numbers will be provided.
- Can provide directions and instructions to and make requests of other volunteers.
- Can multi-task.
- Free meal choice for Volunteer Coordinator includes crab, pizza, pasta, salad, bread, and dessert between 3:30 pm and 4:30 pm, or they may take a box home. Non-alcoholic drinks are available for free to all volunteers throughout the event.
VOLUNTEER BREAK-ROOM ATTENDANT*
SHIFT DURATION: 3:00 PM TO 9:30 PM
- Will be stationed in the volunteer break-room (Clubroom); a separate room near the kitchen.
- Is responsible for managing and maintaining the volunteer break-room. Does not leave the breakroom except for bathroom breaks and trips to the kitchen to re-stock volunteer food supplies.
- Only allows authorized staff and volunteers access to the breakroom. Is able to call an event security guard is needed.
- Assists with setting up and breaking down the breakroom, which includes assisting with moving food trays (via carts) from the kitchen to the breakroom. Assists other volunteers with obtaining their volunteer meal. Maintains a stock of eating utensils, food and drinks in the breakroom.
- Serves as one of the Time-Keepers and turns in the time-keeping records at the end of the event to one of the Chapter officers.
- Orients newly arriving volunteers to sign-in/out, location of restrooms and volunteer stations. A map of the building will be provided.
- Can provide directions and instructions to and make requests of other volunteers.
- Can assist volunteers with questions and concerns they may have.
- Serves as one of the communication contact points – where team leads can have two-way communication with the breakroom attendant via text or phone assist with volunteer coordination.
- Keeps the break-room clean and assists with cleaning the room at the end of the event. Cleaning the room consists of returning food trays to the kitchen, throwing away trash in the garbage can, wiping down tables, boxing left-over supplies to move to a nearby storage locker, gathering paper documents to return to Chapter 48 officers.
- Free meal choice for Volunteer Break-Room Attendant includes crab, pizza, pasta, salad, bread, and dessert between 3:30 pm and 4:30 pm, or they may take a box home. Non-alcoholic drinks are available for free to all volunteers throughout the event.
CLEAN-UP CREW
SHIFT DURATION: 6:30 PM TO 10 PM
- Monitors tables and reports to a supervisor when attendees violate guest policies, such as when guests fill containers to take food home, have brought in outside alcoholic drinks (wine and beer served at the event will be in a clear cup), or are burning candles.
- Picks up and throws away the trash, such as empty plates, utensils, napkins, and drink cups, and places trash in the appropriate receptacle: 1) No crab can be dumped in the regular trash it must be placed in the compose bin; 2) only crab and compostable items can go into the compose bin.
- Makes sure trash goes into the correct receptacles and report to the supervisor when the trash is going into the wrong receptacles.
- Immediately cleans or reports slipping or tripping hazards such as spilled food and drinks from the floor.
- Assists with breaking down the event per instructions. Breaking down the event includes throwing away trash in the appropriate receptacle, folding tablecloths, boxing leftover event supplies, and event decorations, and helping to transport items to storage lockers located in the building or vehicles parked near the kitchen.
- Kitchen cleaning includes cleaning up food, cookware and cooking accessories, wiping down counters, and sweeping and mopping the kitchen floor. The event will use disposable eating ware for attendees and disposable serving trays.
- Duties do NOT include: breaking down tables and chairs, cleaning the auditorium floor, or emptying trash receptacles (all of which are the responsibility of the Veterans Memorial Building employed staff).
- Meal: Pizza, pasta, salad, bread, dessert and non-alcoholic drinks will be available for volunteers between 3:30 pm and 4:30 pm. Volunteers who start a position at a later time, such as the clean-up crew, can arrive before their position starts to eat or box food to take home with them later. Non-alcoholic drinks are available for free to all volunteers throughout the event.
AUDIO/VIDEO ATTENDANT
SHIFT DURATION: 4:30 PM TO 8:30 PM
- Assists the Emcee and speakers who make announcements.
- Monitors the event music streamed from a device over the auditorium equipment to ensure quality and appropriate volume.
- Turns music on and off. Music must be turned off during announcements and turned back on.
- Assists with setting up equipment (laptop, projector, speakers) for short video presentations shown on the auditorium wall.
- All equipment and music will be provided.
- Must know how to operate PC laptop software and ios music playlists.
- Secures provided equipment and turns in equipment to appropriate staff.
- Free meal choice for Audio/Video Attendant: includes crab, pizza, pasta, salad, bread, and dessert between 3:30 pm and 4:30 pm, or they may take a box home. Non-alcoholic drinks are available for free to all volunteers throughout the event.
KITCHEN HELPER
SHIFT DURATION: 3:00 to 9:30 PM
- Wears hair tied back, keeps hands clean (can wear provided gloves), and abides by all current COVID mandates.
- This is a fast paced position during dinner hours and requires lifting. You must be able to lift boxes.
- Assists with keeping the kitchen clean. Throws away trash.
- Helps with unpacking crab from boxes to put in food trays and on carts.
- Helps with cleaning the kitchen (wiping down counters, sweeping, and mopping floor).
- Assists the Volunteer Breakroom Attendant with obtaining food for volunteers.
- Free meal choice for Kitchen Helper includes crab, pizza, pasta, salad, bread, and dessert between 3:30 pm and 4:30 pm, or they may take a box home. Non-alcoholic drinks are available for free to all volunteers throughout the event.
FLOATERS
SHIFT DURATION: VARIOUS
- Floaters are flexible and can help where there is the most need.
- Floaters can choose to float between two or more positions.
- Floaters who work during the entire event 4 PM to 9:30 PM or who work multiple positions spanning several hours have the option of a Free meal choice includes crab, pizza, pasta, salad, bread, and dessert between 3:30 pm and 4:30 pm, or they may take a box home. Non-alcoholic drinks are available for free to all volunteers throughout the event.
ABOUT RECEIVING A CRAB DINNER
Unfortunately we are unable to give a free crab dinner to every volunteer. Crab will only be offered to the following volunteers who:
1) Volunteers who serve in critical positions (refer to each job description for details) annotated by an asterisk, or
2) Fill multiple volunteer positions, or
3) Volunteer for most of the day until the end of the event. For example, a volunteer who helps with set-up and a second position such as clean-up.
